Introduction The question, often posed by fleet management consultants, is - “Could you survive a fleet management review?” and “What is a fleet management review?”
In today’s rapidly changing economic climate, an review on your fleet operations is likely to prove very beneficial. It is an area of company operations that has a high cost structure, is never easy to manage and comparisons are often difficult to make against other fleet owners. It is an area that really does need tight control. The one way for senior management to know what is happening in the fleet is to commission a fleet review.
Fleet Management Review Fleet Management review conducted by FleetCUBE have been developed over a number of years to suit fleet owners. The principles involved are also based on international standards and concepts. FleetCUBE has conducted successful fleet review for many South African groups and companies.
Management reviews focus not merely on the results of fleet management efforts, but also on the management processes used to achieve results. In short, the review is examining your efforts to manage the enterprise. A management review will, in general, answer such questions as:
- What are the goals and objectives of the organization?
- How is the organization structured to meet these goals and objectives?
- How is the organization structured?
- What procedures, policies and programs are in place to achieve results?
- How does the organization coordinate these activities so that they move along a common path efficiently?
- What procedures, processes and information systems does it have in place to coordinate, control and correct, if necessary the activities of the operation?
- How adequate are its communication systems?
- How adequate is its decision managing criteria and the information used to support its decisions?
- How adequate are the resources available to achieve designated financial and operational objectives?
The Approach The FleetCUBE review has been developed along similar lines with five main phases:
Phase 1. Orientation and Project Planning
- Key company executives are met to establish the objectives, scope, ground rules and action plan.
Phase 2. Data and Information Gathering
- Key management and supervisory personnel are interviewed to assess existing policies and procedures. Statistics and operating costs are collected, statistics are complied and field observations are made.
Phase 3. Operational Analysis
- All this data and information is analyzed, based on local and international fleet management principles and techniques. Based on experience in this industry, FleetCUBE develops findings, conclusions and recommendations.
Phase 4. Report Preparation and Review
- The report is comprehensive and covers matters such as the:
- Objectives,
- Background,
- Findings and Conclusions, and
- Recommendations.
Phase 5. Action Plans
After final reports have been submitted, FleetCUBE can be tasked to work with your company to develop appropriate policies and action plans. If required, FleetCUBE can supervise the implementation of these plans over a specified period of time.
